Procurement & Sourcing

A disciplined approach to international sourcing

We start with what you need to buy, not with a catalogue. Each stage of our proposed approach is designed to produce documentation a buyer can rely on.

Our proposed approach

Six stages, from requirement to delivery

This is the sourcing method we intend to apply. Each stage produces a record that can be shared with the buyer, reviewed internally or submitted as part of a formal process.

  1. Requirements assessment

We capture the specification, intended use, quantities, standards, packaging and delivery location, and agree what success looks like before any supplier is approached.

  2. Manufacturer identification

We identify manufacturers whose stated capabilities, product ranges and export experience match the requirement, and screen them for suitability.

  3. Quotations

We request comparable quotations on identical specifications, covering unit price, minimum order quantities, lead times, Incoterms and validity.

  4. Technical compliance

We review available certificates, test reports, safety data and declarations of conformity, and flag any documentation that is missing or unclear.

  5. Logistics planning

We plan freight mode, consolidation, customs and import documentation, and buffer stock where the requirement justifies it.

  6. Delivery coordination

We coordinate receipt and final delivery across Malta and Gozo, confirm proof of delivery and keep a complete record of the order.

Principles

What a buyer can expect

Procurement succeeds when the specification is clear, the comparison is fair and the paperwork is complete. Our work is built around those three things.

  • Written requirements agreed before sourcing begins
  • Like-for-like quotations, with assumptions stated
  • Technical documentation requested, reviewed and filed
  • Honest reporting where a supplier cannot meet a requirement
  • Clear records of decisions, quotations and deliveries
Logistics & delivery

Coordinated from the factory door to the site

Malta is an island market with specific logistics considerations. We plan for port handling, consolidation and local delivery timing so that orders arrive when they are needed.

Freight

Route and mode planning

Options for sea, road and combined freight, weighed against cost, lead time and the nature of the goods.

Documents

Import documentation

Commercial invoices, packing lists, origin and product documentation prepared for the consignment as required.

Delivery

Local delivery to Malta and Gozo

Scheduled drops to nominated sites, with delivery notes and confirmation returned to the buyer.

Please note. Upscale Malta is an emerging business. We coordinate logistics with appointed carriers and forwarders for each consignment; we do not operate our own warehouses or fleet.

Send us a requirement and we will show you the approach.

Tell us what you need to buy. We will confirm the information we need and outline the stages above in relation to your order.
